Find the order before discussing the payment
An order-delivery complaint and a missing wallet deposit are different problems. If the customer provides order IDs, retrieve those orders and inspect their status, service and target. Ask about a payment receipt when the issue is actually an uncredited deposit. Mentioning a bank transfer while asking for an order refund does not, by itself, change an order complaint into a funding complaint.
Pending and in progress describe stages
Pending usually indicates that the request has not yet advanced to active delivery; in progress or processing indicates work is underway according to the recorded status. Use the exact labels in your account. A listed start time is not the same as a full completion time. If there is no verified completion estimate, explain that clearly instead of inventing a deadline.
Completed is not the same as a resolved complaint
A completed status records the supplier’s outcome for the order. It does not prove permanent retention, genuine customer interest or resolution of a customer report. Check the requested target and the customer’s description. If someone asks whether a service will drop before placing an order, explain the package conditions rather than creating a delivery complaint about an order that has not failed.
Explain a partial result with quantities
A partial order means only part of the requested quantity was delivered according to the recorded outcome. For an illustrative order of 1,200 with 372 remaining, the recorded delivered quantity is 828. Confirm that the quantity fields use that meaning before calculating. Tell the customer what the figures establish and check the transaction record before claiming the undelivered portion was credited.
A drop and an incomplete delivery need different checks
An incomplete delivery concerns the requested quantity that did not arrive. A drop concerns a later reduction after delivery. A drop may qualify for refill only if the purchased package includes that coverage and its conditions are met. Keep the original target, observation dates and order ID. Avoid overlapping new orders while a refill or investigation is pending unless support confirms the correct approach.
Separate wallet credit from a cash refund
An eligible failed or undelivered amount may be returned to the panel balance. That is different from sending money back to a bank account or card. Review the published refund policy and transaction record for the actual outcome. Do not promise a cash refund because a supplier order was cancelled, and do not call a balance adjustment complete until it is recorded.
Keep the investigation traceable
Provide the order ID, service, public target, requested quantity and a short account of what is missing. Include observation times where useful. Keep credentials, one-time codes and unrelated personal information out of the ticket. A support ticket gives the investigation a reference; an internal notification is not proof that a provider has accepted or resolved a complaint.
Use updates to inform the customer
When a recorded status changes, explain the change in ordinary language. Say what was verified, what remains unknown and what the next step is. A status update should not silently close a separate complaint. Continue in the existing ticket so the customer does not have to repeat the same context, and avoid asking again for information already present in the conversation.
Continue with your own figures
Use the live catalogue, country guides and published refund policy when planning an actual order. Contact support about an unclear requirement before submitting.
